MENTOR is currently seeking a proactive individual with a high attention to detail to serve as its Business Operations Associate, based in Boston, MA. Reporting to the Business Manager, the Business Operations Associate will be responsible for the day-to-day support of key operational functions, including Finance & Office Administration. The Associate will also analyze various office processes to identify & implement process improvements to increase functional efficiencies. This is an exciting opportunity for an individual to deepen his or her experience in finance, management, and business operations as he/she will work collaboratively across the organization to drive productivity and, ultimately, maximize MENTOR’s impact.


Office Administration

  • Coordinate office support services including purchasing and facilities management
  • Ensure that office supplies are stocked and organized at all times; ordering materials when necessary
  • Ensure that timesheets and expense reports are submitted in time for month-end close
  • Run staffing utilization reports through ClickTime software and report findings to leadership
  • Support onboarding of new staff
  • Support preparation for quarterly Board meetings
  • Lead or participate in a variety of special projects and special events identified on an ongoing basis


  • Prepare invoices for payment
  • Review expense reports, ensure proper backup
  • Reconcile corporate credit card statement(s)
  • Handle cash management, including bank deposits and check processing
  • Create and track invoices for event registrations, including the National Mentoring Summit
  • Manage annual state registration process
  • Manage contracts & MOUs for affiliates and external vendors
  • Continuously seek to improve processes and standards for internal quality control

Human Resources

  • Assist with benefits administration, including 403b, health and dental plan enrollments
  • Provide support for special projects as needed


  • Demonstrated success and 1-2 years’ experience in office administration or financial operations; experience working with a nonprofit is a plus
  • Passion for supporting disadvantaged youth and youth programming, preferably in the field of mentoring
  • High attention to detail and ability to follow detailed guidelines and processes
  • Superb organizational skills
  • Comfortable with Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • QuickBooks, Office 365 and/or Salesforce experience a plus
  • Success in managing a variety of key initiatives concurrently
  • Self-starter, able to work independently, and entrepreneurial; enjoys creating and implementing new initiatives
  • Bachelor’s or Associate’s degree preferred
