RESPONSIBILITIES: The executive coordinator is a key position at PRIM&R, providing support to the executive director, helping manage the governance of the organization, supporting the Board of Directors and its committees, helping to run the administration of the organization, and coordinating special projects. Experience in providing administrative support/office management is required. Specific duties include:
Provide executive-level support to PRIM&R’s executive director, including calendar management, coordination of conference calls and VIP meetings, correspondence, documents and files, and travel arrangements. This area of responsibility is expected to take an average of 35% of the coordinator’s time.
Board of Directors
Serve as front-line staff person for all matters pertaining to PRIM&R’s Board of Directors. Coordinate three annual Board meetings, including both advance meeting planning as well as onsite logistics. Coordinating monthly committee calls and meetings, prepare meeting minutes, manage all logistics, keep corporate books current, and prepare documents and policies as needed for the Board. Manage the Governance and Nominations and Elections Committees and their processes; provide administrative support for Executive and Finance Committees. This area of responsibility is expected to take an average of 60% of the coordinator’s time.
Manage execution of and track progress on partnerships with external organizations. This includes: drafting, reviewing, and ensuring adherence to partnership agreements; coordinating, drafting, and sending marketing messages related to partnership initiatives; checking status of member discounts on external event registrations; conducting evaluations of partnerships; and updating relevant staff on partnership progress as needed. This area of responsibility is expected to take an average of 5% of the coordinator’s time.
QUALIFICATIONS: The successful candidate will have a minimum of 3 years of administrative experience, preferably in a nonprofit setting. A college degree is preferred. They should also have superb organizational and time management skills; be professional, discreet and self-motivate; have strong customer service skills and the ability to work effectively with executives, staff, faculty, and the Board of Directors. The candidate must have excellent writing skills, outstanding attention to detail, and the ability to anticipate needs and prioritize under pressure.
This position requires proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), with advanced knowledge of Outlook a plus. An ability to work flexible hours in conjunction with program schedules, as well as occasional overnight travel may periodically be required.
