Position: Grants Program Assistant

To provide general administrative assistance to support Yawkey Foundations’ grantmaking activities.

Reports To: Program Manager


Experience & Skill Requirements:

  • Bachelor’s Degree
  • Three years minimum experience in an office setting and a strong interest in providing high quality administrative support to a professional team 
  • Excellent project management skills—must be able to prioritize, plan and manage multiple projects simultaneously with a consistently high attention to detail
  • Excellent writing and proofreading skills
  • Skilled user of Microsoft Office (Word, Excel, Outlook and PowerPoint)
  • Comfortable working with numbers and databases
  • Experience with Micro Edge Gifts or other grant database management software preferred but not required
  • Professional demeanor, ability to handle sensitive matters with tact and discretion, and the ability to interact effectively with donors, grant seekers, board members and staff



  • Provide administrative support to Program staff in all aspects of grant making process
  • Respond to basic inquiries from potential grant applicants and existing grantees
  • Assist with incoming and outgoing grants correspondences
  • Assist with scheduling of site visits and meetings with grantees
  • Record receipt of grant reports and grant applications in grants database
  • Assist with data entry and coding in grants database
  • Organize and maintain electronic and paper files of grant documents and resources
  • Assist Program staff with production of reports on grant activity and payments
  • Support Program staff with administrative tasks
  • Assist Program Manager with administration of Yawkey Scholars Program including scheduling of Scholars events


  • Assist with the production of materials and logistics for quarterly Board and Committee meetings, including preparation of electronic board books
  • Maintain all of Foundations’ mailing lists and contact information
  • Perform other duties, as required
