Boston Art & Music Soul (BAMS) Fest, Inc. is a 501 c3 nonprofit organization that strives to breakdown racial and social barriers to arts, music and culture for communities and artists of color across Greater Boston. Since 2015, we have shifted the perception of how people interact with spaces that are underutilized or have excluded people of color in previous years. Additionally, we have been able to convene over 2,500 community members across 10+ spaces to connect and explore shared experiences through music and the arts. Despite the challenge of being rejected by venues and owners who have chosen not to play certain genres of music or service people of color, we have created our own safe spaces in a manner that reflects the cultural identity of our constituency and their social needs.

About the position:

PURPOSE:
Responsible for securing funding and in-kind support through corporate, media, production and hospitality partnerships and the management of these relationships for an inaugural flagship program, BAMS Festival, as well as and delivering on selected sponsorship benefits.
§  This is a hands-on role that requires attention to detail, the ability to self-manage, and work well within a small team.
§  We are seeking an individual with connections and ongoing relationships with corporations, organizations, and community leaders and businesses.
 
REPORT TO: Executive Director and Executive Board
Relationship with and reporting also to The Creative Team (BAMS Collective), and Festival Publicist.
 
COMMITMENT & COMPENSATION:
  •  This is a contracted position. 
  • Start the week of January 22nd, 2018 through June 30, 2018 (6 months) with flexible hours based on delivery of contract with busiest period mid-January through end of March
  • The estimated time commitment required is approximately 20-25 hours per month.
  • 70% remote workload, 30% in office (Fields Corner Business Lab, Dorchester, MA)
  •  Attendance & participation in monthly Executive Board and staff meetings (1st and 2nd Wednesdays of each month)
COMPENSATION:
  • $3,000 (over the course of 6 months) with 5% - 8% commission on specific closed, secured and fulfilled sponsorship contracts.
 
DUTIES / RESPONSIBILITIES:
  • Review the current Sponsorship Package and be familiar with what BAMS Fest, Inc. promises to sponsors;
    • Create customized sponsorship packages, where needed.
  • Seek new sponsors (media/advertising/programming/general support) and meet with potentials to outline what services they would value most
    • Including both cash and in-kind support/product from different corporations and foundations;
  • Determine and prepare a budget and monthly sales calendar, roll out, monitor it carefully and report on it regularly;
  • Book media advertising and ensure material is ready as required;
  • Sell advertising for the BAMS Festival 2018;
  • Roll out and support the Executive Director and Creative Team with implementation of sponsor leverage activities, delivery of benefits and negotiated arrangements;
  • Develop and implement sponsorship strategies in order to maximize revenues;
  • Coordinate event guest lists, catering and entertainment requirements;
  • Coordinating sponsor events pre and during the events, including sending invitations, managing door lists, booking venues and handling any issues as they arise on the day;
  • Support the Executive Director and Creative Team with maintenance and data entry using databases including Google Documents and Eventbrite.
  • Assist in development and delivery of VIP events for corporate/foundational partners in the lead up to and during the Festival period with tasks such as invitation lists, sending of invitations, name tags, creating run sheets and door management.
Marketing & Collateral:
  • Will work as part of the Creative Team to deliver the marketing and communications strategy, including managing artwork and collateral, sponsorship leverage activities, advertising bookings and selling program advertising;
  • Organize the signage to be produced and erected on signing;
Recordkeeping:
  • Maintains records and contacts of sponsors for future;
  • Maintains records of past grant letters and requesting sponsorship packages as examples;
  •  Keep a proper record of sponsor details for BAMS Festival.
Sponsorship Follow-up & Future Festival Engagement
  • Design and send out a thank you letter (email or regular mail) at the completion of the festival;
  • Design and send out a sponsor survey to support planning for the festival year;
  • Develop appropriate correspondence such as proposals, thank you letters and program outcome information.
SKILLS & QUALIFICATIONS:
  • 5+ years’ experience and education in sales/sponsorship solicitation, knowledge of the Boston market, and a can-do attitude!
  • A bachelor degree in Marketing or Sales
  • Event planning (3-5 years of experience)
  • Strong verbal, organizational and written communication skills
  • Strong networking skills
  • Superior time management and organizational skills
  • Confident, friendly, professional and comfortable with cold calling
  • Ability to work autonomously in an entrepreneurial environment with a “can-do” attitude, the ability to make decisions on the fly and adapt to unexpected changes (at events)
  • A personal desire for ongoing learning, continuous improvement and development
  • An optimistic outlook and positive attitude
  • Self-motivation but love being part of a team
  • Possesses patience and perseverance
  • A love of the arts and urban music
  • A broad sense of humor would be useful
  • Be able to delegate and support a grassroots program 
  • Be personable and can present the organization and festival, and the virtues of being a sponsor
  • Be creative in looking at new ways to service and satisfy sponsors.
